Professional Support  Assistant  £18,562- £20,493 PRO RATA

Working 25 hours per week PART TIME 9.00-2.00 Monday to Friday

Fixed Term Contract to 31/07/2022 **For existing employees this opportunity is being offered as a secondment, subject to eligibility criteria**

Brasshouse Languages is a busy adult education centre offering courses during the daytime and evening classes.

The main duties are

  • Dealing with enquiries over the phone, via email or face to face about BAES courses. Enrolling learners on courses.  
  • Liaising with tutors and other BAES teams
  • Ensuring the health and safety of staff and learners at the centre.
  • Working in a professional manner with general public, learners and tutors and offering high levels of customer service.

Job purpose

 

To provide efficient, effective and consistent Support Services and general office duties to meet the needs of the business. To deliver exceptionally high standards of service to both internal and external customers.

 

Key responsibilities

 

To provide high quality support services to internal/external customers, ensuring that their needs are met and the whole learner journey is supported.

To place orders and progress invoices and administrative systems as required.

To operate and maintain data/administrative systems with (e.g. monitoring, recording and processing of information) to ensure the delivery of the support function in a consistent and responsive manner across the business.

To administer financial processes. To handle monies as appropriate, to prepare for banking as required, under the supervision of line manager.

To ensure that confidentiality is maintained in all areas to ensure compliance with Data Protection Act principles.

To ensure that safety and security is upheld by adhering to all relevant policies and reporting any issues appropriately as they arise.

To work flexibly and as part of a team to ensure cover of all aspects of support and to provide continuity of service.

To provide file maintenance in respect of archiving, retention and distribution of records as per data protection requirements.

Observance of the City Council’s Equal Opportunity Policy will be required.

Experience of office work maintaining confidential paperwork, processing invoices and general office duties such as responding to phone calls & emails.  

Experience of working in a diverse team  and the ability to multi-skill to cover other roles within the team    

Experience of managing conflicting priorities effectively to achieve business objectives.  

Knowledge of relevant legislation/policies and their implications for the Directorate (e.g. FOI, Data Protection Act, Safeguarding, Health and Safety, Sustainability, Equality Act).      

Ability to interpret complex information and to be able to deliver difficult messages and responding to the individual needs of learners and potential learners.  

Ability to communicate effectively at all levels within an organisation, both orally and in writing, where maintaining confidentiality is paramount.      

Attention to detail with an ability to maintain accurate records of work.      

Ability to work on own initiative with a pro-active approach to all tasks to ensure business objectives are met.

Competent in the use of relevant IT application (e.g. Microsoft Office, ProSolution etc.)

Competent in the use of numerical skills to support business functions.

An ability to work flexibly or pert of a team environment, providing cover when required to ensure continuity of service provision.

To possess, or be willing to work towards a relevant customer service qualification at level 2 or IAG level 2 and English,  Maths & IT at Level 2.

Willingness to undertake ongoing continuous professional development (CPD).
