The Adult Education Service is part of Coventry City Council.  We provide a wide range of courses for Coventry residents age 19+ and much of our provision is targeted at people with the highest levels of need. 

We offer long courses in English, maths, English for Speakers of Other Languages (ESOL), ICT/Digital and vocational subjects such as Early Years, along with provision for adults with learning disabilities.  

We also offer a very wide range of short community courses in arts, crafts, music, dance, exercise, fitness and family learning.  In addition, we run a highly supportive study programme for young people.

Our work-based learning offer includes Apprenticeships in the following subject areas: 

  • Nursery Workers
  • Teaching Assistants
  • Leadership/Management; and 
  • Customer Care. 

We also provide courses for adults who are seeking work via the Council’s Job Shop. 

Our main base is at Southfields Old School, CV1 5EJ, with provision delivered at around 25 other sites within Coventry, mostly in areas of highest need.

What is the job role?

Coventry Adult Education Service are seeking to recruit an experienced administration team leader.  The team leader will be responsible for leading a team of 22 administration staff, together with two other team leader colleagues.  The administration staff provide an administration service at a variety of venues across Coventry, where Adult Education courses are delivered.  In addition each team leader has designated responsibilities. For this post the team leader will have the designated responsibility for leading the exams exams team within the service. The exams team process exam entries for approximately 1500 learners each academic year.

This post is exempted under the Rehabilitation of Offenders Act 1974 and as such appointment to this post will be conditional upon the receipt of a satisfactory response to a check of police records via Disclosure and Barring Service (DBS).

 

Who are we looking for?

When applying please ensure you base your personal statement on the information given below and in the attached job description/person specification. Candidates are shortlisted on their skills and experience against this information.

It is essential that applicants have previous experience of leading a team, managing staff and working in an exams office, preferably in an educational setting, together with a maths and English qualification at GCSE 4/C or above. Previous experience of using Pro Solution management information system is desirable but not essential.

Designated responsibilities for this role will require the successful candidate to have experience of:

• Maintaining and developing systems to manage and coordinate all aspects of the exams administration process

• Identifying and accessing  relevant support available from external stakeholders (Awarding Bodies/JCQ (Joint Council for Qualifications), network groups etc)

• Complying with JCQ and awarding body regulations, guidance and instructions, keeping abreast of developments/changes/updates and cascading them to appropriate teams

• Using JCQ and other awarding body online tools effectively, where required eg the centre admin portal, secure extranet sites

• Overseeing (as the main administrator) and managing appropriate access rights for relevant internal stakeholders using JCQ and awarding body online tools

• Managing own time and that of the exams team to ensure key tasks are undertaken and external key dates and deadlines are met

• Communicating clear internal deadlines and processes for gathering/sharing exam related information with/from the relevant internal stakeholders

• Planning and conducting JCQ and awarding body centre inspections

• Managing arrangements to receive, check and store question papers and examination material safely and securely at all times and for as long as is required in accordance with regulations

• Ensuring that awarding body processes and timescales for the registration/entry/withdrawal of candidates are met

• Training and deploying a team of invigilators

• Managing the arrangements for timetabling exams and invigilation of exams in accordance with the regulations

• Using internal and external IT systems to access and manage awarding body results

• Managing the distribution of candidate certificates

The post requires good ICT skills, particularly in Word and Excel and previous experience of handling and administering a petty cash system.
