As the Administrative Assistant, you will be providing crucial support and assistance to members of the West Midlands Metro Projects Team. This is a fast-paced role within a thriving team where you will be completing takes such as minute taking, formatting, and producing documents, completing travel and accommodation requests. This is a hybrid working position, when in the office, you would be based at Alpha Tower, Birmingham City Centre.

What will you be doing?

  • Supporting the WMM Project team in monthly Project Reporting and facilitating the meetings
  • Acting as the point of contact for PO's and support the process of raising Requisition Orders and Purchase Orders as directed by the Finance team
  • Assisting with booking travel and accommodation using the 'Click travel' booking system
  • Working closely with the West Midland Metro Projects Director Personal Assistant to ensure an effective administration service
  • Supporting the Projects Team diary management, organising meetings and events (as well as attending as required) including collating agendas and meeting papers for send out and taking notes, minutes, checking equipment and delivery of meeting refreshments
  • Providing a high standard of customer service to internal and external stakeholders
  • Providing administration support such as managing and organising project filing systems, onboarding new team members including organising introductions and chasing IT support etc

About you

  • Educated to GCSE level or equivalent
  • Experience of working within a busy and fast paced environment
  • Excellent IT skills, including Outlook, Word, Excel and PowerPoint
  • Ability to work on own initiative, prioritising work to meet demands

About the team

The Midland Metro Alliance (MMA) is a team of planning, design and construction specialists building a number of new tram extensions over the coming decade on behalf of the West Midlands Combined Authority (WMCA). The Alliance consists of the WMCA, which owns the Midland Metro; a consortium of design experts from Egis, Tony Gee and Pell Frischmann; and rail construction specialists Colas Rail – with Colas’ sub-alliance partners Colas Ltd, Barhale, Thomas Vale and Auctus Management Group.

With around £1.3bn being invested in extending the tram system across the West Midlands, this is an unprecedented light rail infrastructure project to help deliver a lasting legacy that will enable social and economic regeneration across the region.
