An exciting development opportunity for Birmingham City Council has arisen for a high-quality Personal Assistant with all round excellent communication, administration, IT and organisational skills working for the Birmingham Safeguarding Adults Board. We are looking for an organised, self-motivated and dependable team player to join the Safeguarding Adults Team on a temporary basis as a PA supporting the work of the Board. The post will be recruited to permanently in 2022.

The role provides executive level PA and administrative support to the Birmingham Safeguarding Adults Board by supporting the Independent Chair of the Birmingham Safeguarding Adults Board, Business Manager and Senior Managers from various organisations through the Safeguarding Adults Board Support Team. Respecting and preserving confidentiality will be key as well as the ability to be proactive in a demanding, stimulating and fast-moving environment. 

The role requires excellent literacy and numeracy skills and close attention to detail. The post holder will be expected to work to tight deadlines and effectively prioritise different demands. You need to have excellent administrative skills, must have the ability to organise your own workload and carry out tasks autonomously with minimal supervision.

 

You should be self-motivated, adaptable, solution focused, able to deal with enquiries professionally, work autonomously and competently to high standards with minimal supervision. You will have a wide range of experience of all aspects of personal assistant and administration work, including preparing and editing documents and presentations, arranging and supporting meetings along with accurate record keeping of formal and informal meetings.

The successful candidate will be required to organise the activities of the Safeguarding Adults Board including the coordination of Board meetings, Sub-Groups, Safeguarding Adults Reviews and events. You will be required to undertake minute taking duties for highly confidential and complex meetings and therefore experience of minute taking is essential.

The post holder will have experience of creating and proof-reading documents as well as creating newsletters and other communications that are public facing to a high standard, efficiently and also ensuring accessibility requirements are met.

You will have experience complex diary and e-mail management and acting as a gate keeper. You may also be responsible for budget monitoring.

The post holder will be required to undertake research as required by the board on various safeguarding related subjects, for example when creating the newsletter or adding items to our website.

The post holder must be able to demonstrate a high level of skill, including the advanced use of use of IT systems including office 360 and excellent written and verbal communication skills. The Board has its own website and twitter page which the postholder will be expected to update therefore technical abilities are crucial for the role.

This will be an extremely fast paced role in an ever-changing landscape which will require energy, enthusiasm and tenacity, you will need to be a confident decision maker to be able to maximise the time and attention of Senior Managers
