The Headteacher and Governors wish to appoint, an enthusiastic and dedicated Data & Administration Assistant.  This is an exciting opportunity to join a growing central services team, have an impact and to be part of the exciting developments the school are making. Job Purpose: 

  • Ensure the provision of timely and accurate student data.  
  • Ensure the provision of timely and accurate Student Reports.  
  • Provide HR administration support. 
  • Provide administrative and clerical support for the examinations process and procedures.  
  • Provide general administrative and clerical support to the Headteacher and Welfare Officer. 

Post Responsibilities: 

  • Student Data 
  • Ensure the provision of accurate student data.   Assist input of admission data for all new students.  
  • Ensure student curriculum data is maintained and updated on a regular basis.  
  • Ensure FSM data is up to date and sent to the FSM team on a termly basis. 
  • Support and liaise with the Senior Leadership Team with regards to the maintenance of the SOLAR assessment system and produce reports as required. 
  • Provide accurate and up to date student information on request.  
  • To maintain appropriate records and provide relevant, accurate, up to date information on attendance. 
  • Review student data systems to identify potential improvements. 
  • Student Reports 
  • Organise the input of data and information for Student Reports.  
  • Quality assure the input of data and information for Student reports.  
  • Organise the printing and distribution of Student reports. 
  • Inform Line Manager or Deputy Headteacher of any issues or potential improvements to the process for providing Student Reports. 
  • Exams 
  • Liaise on a regular basis with the Sixth Form Coordinator.  
  • Undertake regular training on the systems and processes for examinations.  
  • Organisation of examination venues, seating arrangements and any room changes needed to accommodate examinations.  
  • Oversee the exam invigilation process. 
  • Input exam entries and arrange for the secure packing and despatch of all completed examination scripts.  
  • Process and deliver examination results to students. 
  • Liaise with the Deputy Headteacher regarding examination policies and procedures. 
  • Liaise with all external stakeholders including, parents, awarding bodies etc. 

HR 

  • Manage the absence monitoring procedures including, reporting of absence to S4S and the LA via Agresso system, as well as absence monitoring review meetings for the Head teacher.  
  • Liaise with the School Business Manager for the arrangement of return to work meetings. 
  • Process new starter paperwork and provide accurate and timely data for new starters, leavers and internal changes to S4S. 
  • Maintain and update personnel records both physical and on SIMS. 
  • Undertake the recording and monitoring of CPD records including all training such as, Safeguarding, GDPR, First Aid, Health and Safety etc. 

Administration & Clerical 

  • MIS data entry for SIMS, FMS and SOLAR systems 
  • Organise the booking system for rooms including room changes as and when required  
  • Provide general reception, administration and clerical support as required by the School Business Manager  

Staff Development 

  • Be a qualified first aider or train as one and continue to maintain the training to carry out the role 
  • To undertake appropriate professional development including adhering to the principle of performance management 
  • To achieve any performance criteria or targets relating to the post arising from the School’s appraisal arrangements.   

General 

  • To adhere to the ethos of the school 
  • To promote the agreed vision and aims of the school 
  • To set an example of personal integrity and professionalism 
  • Attendance at appropriate staff meetings and parents’ evenings 
  • Responsible for ensuring all items timetabled against this role are met or adequate notice is given to School Business Manager if unable to complete tasks 
  • Any other duties as commensurate within the grade in order to ensure the smooth running of the school.
