Hours: Permanent, 37 hours per week, term time, plus 5 INSET days and 5 non term time days

Our Lady of the Magnificat Multi-Academy Company is experiencing rapid growth, currently a Multi-Academy of 12 schools across Warwickshire and Worcestershire, growing to 24 schools by 2023.   This will provide an opportunity to create new ways of working as people from across different schools with unique skills and a wide range of experiences come together to provide the highest quality of education for every child and young person we serve.

We are looking to appoint an enthusiastic, organised, and self-motivated administrator to support the Multi-Academy Central Team.  The successful candidate will be responsible for a variety of administrative duties and will report directly to the Head of Communication and IT.  There may be occasional evening events that the administrator will need to be available to support and therefore flexibility is required with working hours.

Main responsibilities

Administration:

  • Provide an effective and efficient general administration support to the Central Team.
  • Responsible for the Multi-Academy calendar, ensuring it is kept up to date and permissions monitored.
  • Arrange meetings and take minutes when required.
  • Draft, type and prepare documentation; letters, emails and communications.
  • Complete all administrative duties required to support Behaviour Hub and School Improvement and other initiatives as directed.
  • Provide administrative cover to schools within the Multi-Academy when required.
  • Input and update data/information in Multi-Academy templates and/or software systems.
  • Support Multi-Academy wide events and act as the link person to stakeholders.
  • Maintain administrative elements of the Multi-Academy website.
  • Support social media for the Multi-Academy.
  • Manage generic email accounts.
  • Provide administrative and organisational support to the Board of Directors where required.
  • Maintain positive relationships with external stakeholders.
  • On occasions, visit schools to support in administration duties as directed by your Line Manager.

General:

  • Support Multi-Academy wide events and act as the link person to stakeholders.
  • Maintain in the strictest confidence any personal data or sensitive information, working in line with GDPR to ensure that confidential information is stored securely and is not shared with other persons either in or outside of the Multi-Academy, except in the recognised course of your duties.
  • Form positive, professional working relationships with colleagues throughout the Trust.
  • Maintain positive relationships with stakeholders.

  • To maintain personal and professional development to meet the changing demands of the post, participating in appropriate training activities.

  • Other duties as may be determined from time to time within the general scope of the post. Duties and responsibilities outside of the post will only be required with the agreement of the post holder.
