PA to the Executive Team

 

This is a permanent position based at the Head Office of the Newman Catholic Collegiate

for 30 hours (amount of hours negotiable) Level 6. (Actual salary £15,935 - £18,000) Monday – Friday 8:30am – 3:00pm preferred although exact start and finish times can be discussed providing it meets the needs of the Collegiate.

 

The Newman Catholic Collegiate is a multi-academy company consisting of nine academies. The role would be based in the central team head office which is situated at 83 Little Chell Lane, Tunstall, ST6 6LZ in the Central team offices. The Directors are seeking to appoint a hardworking and committed PA to the Executive Team to join our enthusiastic team. Whilst the requirements of this role are clearly stated in the job description, this is a new post and so we are looking for someone to make this role their own. Prior experience in a school setting is not essential.

     

 

We are seeking to appoint a PA to the Executive Team who:

 

  • Is fully supportive of the Catholic Ethos of the Collegiate Provide timely and effective operation of secretarial and administrative support to the Catholic Senior Executive Leader (CSEL) and occasionally other members of the Leadership team in accordance with good secretarial practice. Attend and minute meetings and provide a general support to ensure the effective conduct of business including handling post, arranging meetings, co-ordination of agenda and agenda items. Liaise with those preparing papers to make sure they are available on time, and distribute the agenda and papers as required by legislation or other regulations To ensure that matters arising from meetings are dealt with by the appropriate people within agreed timescales. Ensure the effective operation of the CSEL’s personal office to ensure the efficient discharge of functions to directors, Principals and governors including hospitality arrangements and management of the CSEL’s diary.
  • Advise on the annual calendar of meetings and tasks, ensuring practical arrangements e.g. rooms are booked or online meetings prepared.
  • Update the collegiate website when requested. Appropriate training will be provided.
  • Present a professional, welcoming service to stakeholders
  • Arrange training and conference events as required
  • Screen phone calls, direct calls and take messages as appropriate
  • Communicate effectively in person, on the telephone and via email with external agencies, companies and collegiate staff.
  • Handle all confidential correspondence with discretion
  • Maintain an on-line filing system
  • Assist in the production of collegiate documents
  • Undertake general office duties e.g. typing, filing, faxing and photocopying and scanning
