Job Details

The Governors and Head Teacher of Grove Vale Primary School wish to appoint an enthusiastic and dedicated School Administrator to work in our Outstanding Primary School. The role will provide administrative assistance to the Head Teacher/Business Manager at the school and being an integral part of the Grove Vale office team.

You must have experience of working in a school setting or have a minimum of NVQ Level 2 in school admin.  Previous use of SIMS or similar MIS systems is also desirable, but training can be given.

Administration

  • Electronic receipt and update of school registration and all absences
  • Responsible for the schools first day calling system for absences
  • Liaise with Assistant Head teacher and Education Welfare Officer about all aspects of attendance
  • Liaise on Head Teacher’s behalf with outside agencies.
  • Manage administration of after school clubs.
  • Receive deliveries and Process them on FMS
  • Reproduce documents to a very high standard including booklet making
  • Telephone, reception and post duties.
  • Dealing with enquires from pupils, staff, parents and external agencies
  • Provide clerical support to the Friends of the School Association
  • Produce school letters and manage communications via Parentpay emailing
  • service

Finance

  • Responsible for the receipt and accounting for school dinner money and milk money in accordance with financial regulations, including the production and maintenance of relevant registers, preparations of weekly summaries and liaising with parents for new applications, expiry dates/renewals, and debts.
  • To assist the Business Manager in relation to the marketing of the schools facilities to generate income, identify and meet each individual hirers requirements and to carry out the necessary administration relating to the letting.

Information Processing

  • Operation of the computerised School Information Management System (SIMS) ensuring that pupil details are up to date and maintained using parentlite system/data collection sheets
  • Completion of weekly electronic pupil migration reports to assist with tracking pupils under ECM
  • Completion of CTF’s using move-it (internal) and S2S (DCSF External)
  • Responsibility of updating pupil pastoral information on the schools Information Management System
  • Assistance with collation and collection of information for school census.
