Job title: Part-time School Office Assistant Salary:

Level spine point 2-3 dependent on experience

Hours: 14 hours (2 days per week) Term Time only

Contract type: permanent

Reporting to: The School Office Manager and then Headteacher

Responsible for:

Running the school office for two days a week

Duties and responsibilities

  • Take a key role within our team and school community as the first point of contact to visitors and deal with complex reception/visitors matters.
  • Provide effective support to the School Office Manager by completing a range of daily admin tasks.
  • Sign visitors into the school and complete relevant identification checks.
  • Respond to any general school office enquires via telephone, email, or where relevant in person, in a calm, friendly and professional manner.
  • Take messages and respond to emails, phone calls and face-to face queries, ensuring information is passed on and shared correctly and respond to routine correspondence.
  • Contribute to the management of the school diary in helping to arrange events
  • Assist in arranging meetings for outside providers and other visitors.
  • Organise school trips, visits and events and prepare letters and emails to inform parents of these trips and events by working with the teachers and support staff.
  • Raise invoices on the IT system and complete other IT related tasks.
  • Assist the Headteacher and staff team in the smooth running of the school on a daily basis, providing administrative and organisational support to other staff.
  • Undertake other school office work as reasonably requested by the Headteacher or Assistant Headteacher.
  • Assist with pupil first aid/welfare duties, looking after sick pupils and liaising with parents/staff.
  • Carry out photocopying, filing, faxing, emailing, complete routine forms.
  • Maintain manual and computerised records/management information systems and pupils’ reports.
  • Produce lists/information/data as required.
  • Analyse and evaluate data/information and produce reports/information/data as required.
  • Undertake administration of complex procedures
