Location: Federation post based at Croft Academy however expectation to work across the  Federation of Kings Rise, Woods Bank and Croft Academies

Working Pattern 35 hours, 52 weeks, although term time (39 weeks) will be considered

This is an exciting opportunity to join the team of an Academy that is having a substantial impact on pupils’ lives. 

We are looking to appoint a ledger clerk in our finance team; starting September 2024. Experience of working in finance with a proven impact is desirable however not essential.

Interviews for the successful candidates will be held at Kings Rise Academy on 22nd July 2024.

This role profile is non-contractual and provided for guidance. It will be updated and amended  from time to time in accordance with the changing needs of the federation. The duties of this post may vary from time to time without changing the general character of the post or level of  responsibility entailed. The responsibilities are subject to the general duties and responsibilities  contained in the Statement of Conditions of Employment.


● To take a critical role in the processing of the financial documents of the federation  under the direction of the Assistant Finance Manager and to ensure that the federation  operates an effective system of financial control that meets the requirements of the  TEFAT Finance Manual and Academies Financial Handbook.


Responsible, under the direction of the Assistant Finance Manager, for financial matters with  due regards to the appropriate financial direction and regulations of the Academy Trust and  EFSA. In particular;

● Processing purchase orders and goods receipts on the financial system. ● Online ordering of goods and services as required. 

● Ensure all orders comply with requirements of the TEFAT finance handbook. ● Advice and assist budget holders with sourcing of goods and services, obtaining the  requisite number of quotes.

● Process new supplier requests, process on the finance system and maintain a record of  approved suppliers.

● Processing and payment of invoices on the financial system.

● Monthly reconciliation of supplier statements and resolution of any issues arising from  the reconciliations.

● Management of credit cards including monitoring spend, reconciliation of statements,  entering transactions on the financial system.

● Raising Sales Invoices on the finance system.

● Booking travel and accommodation for staff as required.

● Processing expenses claims for staff on a monthly basis.

● Liaise with auditors for internal and external audits and ensure all records are prepared  in advance of audits.

● Processing automatic prepayments in the finance systems

Other Duties

● Maintain manual and computerised records/management information systems.

● Complete and submit forms, returns etc, including those to outside agencies 

● Such other duties may be commensurate with the grade and nature of the post.

● Contribute to the overall ethos/aims of the schools and federation and be expected to work  at the 3 sites.

● Recognise your own strengths and areas of expertise and use these to advise and support others.

● Individuals have a responsibility for promoting and safeguarding the welfare of children and young people he/she is responsible for or comes into contact with. 

● To ensure all tasks are carried out with due regard to Health and Safety. ● To undertake appropriate professional development including adhering to the principle of  performance management.

● To adhere to the ethos of the school, federation and TEF.

● To promote the agreed vision and aims of the school and TEF.

● To set an example of personal integrity and professionalism.

● Attendance at appropriate staff meetings, training and financial discussions.

General matters 

The post holder’s responsibility for promoting and safeguarding the welfare of children and young  people for whom s/he comes into contact will be to adhere to and ensure compliance with the  Trust’s Safeguarding and Child Protection Policy at all times. If, in the course of carrying out the  duties of the post the post holder becomes aware of any actual or potential risks to the safety or  welfare of children in the Academy s/he must report any concerns to his/her Line Manager or the  Academy’s Child Protection Officer. 

This job description reflects the major tasks to be carried out by the post holder and identifies a  level of responsibility at which they will be required to work. In the interests of effective working,  the major tasks will be reviewed from time to time to reflect changing needs and circumstances. 

Such reviews and any consequential changes will be carried out in consultation with the post  holder.
