Administrative Assistant – Grade 3 / 4 (dependent on knowledge and experience)

37 hours per week 8am-4pm, term time only + 2 weeks during school holidays (working days in holiday periods to be negotiated).

Coundon Court is a high performing, forward-looking and innovative Academy at the heart of its community. We are looking to expand our Administration Team with supporting the day to day administration tasks associated with a busy school office. 

To join us you will need previous administrative experience and a high degree of computer literacy (Word and Excel).  You should be used to working on several administrative tasks and be able to switch between them, whilst providing excellent customer service to people contacting the school. 

All appointments will be subject to a satisfactory enhanced disclosure from the DBS.

JOB DESCRIPTION

Job Purpose:

As a School Administrator, provide an administration service to staff, pupils, parents and clients of the school at all times and ensure that deadlines are met in an effective and efficient manner.

 

Responsibilities:  

  1. To assistant the Office Manager in producing and organizing an effective thorough output of work.
  2. To assist in providing secretarial and administration support to the Administration & Information Manager, Senior Staff, Year team’s and Deputies.
  3. To be the first line of contact with parents, provide support to the year heads and tutors as appropriate to ensure an effective communication between the school and parents.
  4. Ensure that all data relating to students held on the school SIMS system is accurate and up to date.
  5. To assist the Office Manager in ensuring that parent consultation, information evenings, Induction of new students etc., are prepared as directed by year head’s or SLT and staffed accordingly.
  6. To undertake general support to the School Office including work processing, typing, photocopying and collating and operate school computer and other office equipment, including familiarisation with appropriate software systems.
  1. To undertake accurate and independent use of complex photocopier functions.
  2. To undertake accurate and independent construction and inputting of spreadsheets
  3. To be able to accurately amend/input and use SIMS
  4. To be able to assist, when needed, in reception administration and deal with all school visitors.
  5. To support HR Administrator with general HR clerical and administrative processes, as required.  
  6. To undertake other duties and responsibilities as required, appropriate to the grade and range of the post
  7. To have due regard for health and safety.
