Administrative Assistant – Permanent - Throughcare, Venture House, Lichfield

The Families First service is looking for someone to provide high level business support administration to work within the business support team based at Venture House, Lichfield, attached to the Through Care Team.

We are looking for a candidate to:

Provide day to day supervision, advice and guidance to appropriate clerical staff at the office.

Work with the Support Service Manager and other operational managers in implementing new office systems and Directorate policies and procedures and in co-ordinating and monitoring the work of the Support Services staff in the relevant teams.

Process day to day financial transactions in accordance with financial regulations, including receipt and payment of cash, placing of orders and the passing of accounts for payment through the County Council’s Finance system.

Accurately input information to databases to ensure the Directorate meets relevant performance indicators.

Assist on a day to day basis with the maintenance of fire and health and safety standards in accordance with Directorate policies and statutory regulation; the initiation under guidance of appropriate action to ensure the proper maintenance of the fabric of the building, its furniture and equipment and the promotion of good housekeeping standards.

Have an oversight of the maintenance of service user records ensuring compliance with the Directorate’s policy and practice regarding case recording and filing.

Utilise the information technology facilities including the induction of new staff and the co-ordination of ongoing training for staff.

Produce documents to a high standard of accuracy and presentation using the software provided.  This will include letters, reports, tables, presentations and publications.

Service meetings including from time to time child protection conferences, which will include minute taking, the production of accurate records and distribution of reports within agreed timescales.

GCSE English, NVQ 2 in Business Administration or equivalent. Good written and oral communication skills and experience of using computer-based information systems in an office environment are also essential along with the ability to work independently, with minimal supervision.
