Office Administrator for our Kings Road School
Required from 21st October or as soon after
Scale 3, pt 5-6 £13757-£14032 with opportunity for progression
32.5 hours per week Term Time Only (Plus 5 additional Training Days)
Monday – Friday 8.30am – 3.30pm
Qualifications required:
Relevant Level 3 (or equivalent) qualification preferred but not essential
We are looking to appoint an experienced, reliable and efficient Office Administrator to be part of our wonderful staff team. The successful candidate will be responsible for the administration of educational visits and parentpay systems as well as managing financial income coming into school via parents for clubs, trips and lunches. They will also be the first point of contact for parents when making bookings for breakfast club and dealing with school lunch queries. They will undertake general office duties including answering the telephones, dealing sensitively with a wide range of issues and queries from children, parents and outside agencies. Under the direction of the Business Manager, the successful candidate, will be joining a wider team across our Burford Road and King’s Road settings, consisting of an Assistant Bursar, two secretaries and a receptionist.
You will need:
Excellent IT and interpersonal skills
Good knowledge of Word, Excel and Gmail
Experience of using social media to communicate with parents and carers desirable but not essential
Previous relevant experience (not necessarily school-based)
Ability to multi-task under pressure and work to deadlines
Experience of Scholarpack preferred
Knowledge of Sage and ParentPay an advantage
Experience of dealing with finances
Experience of customer service
Other necessary qualities include confidentiality, being able to work on your own initiative, a willingness to support other members of staff and go the extra mile.
As a School Office Administrator, your duties will include, but are not limited to:
Answering calls in a positive and professional manner and communicating messages promptly
Dealing with enquiries at the Reception desk in the absence of the secretary or receptionist
Providing support to staff, parents and children
Managing of all income for school trips, meals and breakfast club
Administration of Parentpay system
Administration of school educational visits
Carrying out start and end of year processes for school meals and breakfast club
General secretarial duties as required in the office/reception area
Use of Word, Excel, desktop publishing packages, Gmail and social media
Assisting the finance team with invoices and processing
Emails and communications including letters to parents
Maintaining confidentiality at all times for sensitive documents and phone calls
