Temporary Business Support Assistant x 2

Two temporary vacancies exist for the position of Business Support Assistant, covering the East & West of the county of Staffordshire. There will be an expectation to be prepared to travel as far north as Stone and Uttoxeter, and as far south as Kinver and Tamworth.

Salary: Grade 4 (£19,171 - £21,166)

Hours: 37 Hours (flexible working scheme in operation)

Duration: To be reviewed on or before 12 months.

Location: Admin base will be either Lichfield Community Fire Station or Cannock Community Fire Station

About the role:

Provide efficient and effective administrative support to the Fire Safety Enforcement, Prevent, and Response teams. Provide administrative and clerical support to Managers across the Service Delivery Group. Provide an inclusive and informative front of house service to stations within the Service Delivery Group.

Duties to include: (see full job description attached)

  • Responsible for providing administrative assistance within the delivery group to include administrating and coordinating multiple diaries, greeting visitors, making and receiving telephone calls, managing email correspondence and minute taking in addition to other general duties.
  • Manage community facilities which include administering and prioritising bookings in accordance with Service policies and procedures.
  • Identify and set up Trusted Partners ensuring that a full induction of the facilities is provided and recorded. Requirement to seek solutions to a variety of customer issues as and when required.
  • Responsible for assisting with the coordination of building maintenance for premises; including monitoring contractors and ensuring Health & Safety requirements that are being complied with in accordance with Service policy.
  • Collate and provide statistical information for the management team and facilities management as and when required.

Person Specification:

We are looking for candidates who can demonstrate:-

  • Good communication and interpersonal skills, by presenting a positive image.
  • Experience in an administration environment with knowledge of office processes and procedures.
  • Proven abilities of working as a team member, and evidence of maintaining an adaptable, flexible, and responsive approach to acquiring new skills.
  • Experience of Microsoft Office Suite (including Word, Excel and Outlook) and electronic management systems.
  • The ability to show resilience under pressure when working alone and unsupervised, whilst achieving strict deadlines.

In addition you will be required to attend any station within the delivery group as and when the workload dictates, and so should have use of a vehicle and a current full driving licence with business use insurance.
