Business Support for Wrap Around Care and Nursery Provisions (Maternity Cover)

22.5 hours per week, Term Time Only plus 1 week (total 39 weeks per year)

We are looking for an enthusiastic part-time Business Support member of staff to join our team at St Kenelm’s CE Primary School on a Maternity Cover basis.

The purpose of this post is to support our Wrap Around (Breakfast and After School Clubs) and Governor-Led Nursery Provisions. The post holder will work 22.50 hours weekly during term time, and 22.50 hours in total during school holidays annually to ensure smooth returns for the provisions after half terms, as well as Christmas, Easter and Summer holidays.

The main duties of the postholder are as follows although this list is not exhaustive:-


Ensuring supplies and services are ordered in accordance with policy and procedure, and available in a timely manner for both provisions. An example of this would be to ensure that appropriate food and drink is available for Wrap Around provision each day that it is open.

To raise invoices for childcare and to chase payment as necessary. This will involve utilising the school’s finance system and liaising with School Finance, County Finance, Childcare Voucher Schemes and parents as appropriate.

To be the holder of a school credit card to enable supplies for Wrap Around and Nursery to be ordered online when required, and to use the card in accordance with School Policy.

To manage and submit the claims to school in respect of government funded nursery places.

To provide information to the School Business Manager and Head Teacher relating to pupil numbers, and any non-payment of parental invoices as needed.


To update the registers, to ensure that the Nursery and Wrap Around staff are aware which children are due to attend every session.

To liaise with parents to determine the demand for Wrap Around and Nursery sessions, and allocate accordingly.

To manage waiting lists for the provision, and to ensure that the number of children attending does not exceed that permitted due to the child:adult ratios required.

To ensure that parents and children’s details are held and updated in accordance with GDPR

To devise and amend contracts for childcare as required.

To submit the annual Nursery Census to the County Council.

To ensure that the induction packs for Nursery and Wrap Around Care are updated and available as required.

To update the school’s website in relation to the Nursery and Wrap Around Care.

To liaise with parents and other stakeholders to resolve any queries relating to the administration of Wrap Around and Nursery.

Health and Safety

To ensure that risk assessments are carried out as required and retained on file.

To ensure that details of orders for consumables such as paint and glue are passed to the school Site Manager for COSHH purposes.

To ensure that termly fire drills are carried out in Nursery and Wrap Around Care.

To ensure that any building defect is promptly reported to the school’s management.

To ensure that any medication on site for children in Wrap Around Care or Nursery is properly stored and administered.

To ensure that the Nursery and Wraparound Care meet all relevant legislative requirements, and to notify the Head Teacher immediately should any issues arise.

Human Resources

To assist in the recruitment processes relating to staff for Nursery and/or Wrap Around Care as required.

You must be able to work on your own initiative and be able to carry out the full range of Business duties for Nursery and Wrap Around Care. A pleasant manner and experience of using computers (e-mail, word etc) is essential as you will be the first point of contact for parents of children accessing these provisions and will manage both provisions’ e-mail accounts.

The line managers for this role will be the Nursery and Wraparound Leaders although advice is also readily available, particularly in relation to the financial aspect of this role, from the School Business Manager (SBM). The SBM will also be your point of contact for any HR related queries. It is also envisaged that there will be a hand-over period from the substantive post-holder in this role.

Previous experience of utilising a computerised finance system would be an advantage, although is not essential as training will be provided.

The post is for 22.50 hours per week during term time plus 1 week. These are to be worked during the 38 weeks the children are in school, and the additional week is to allow the postholder to ensure that food is available on the first day after each holiday, and that registers are avalailable for the provisions, as well as to periodically check the e-mail when school is closed to respond to parents wanting places, for example.

We will discuss and agree the timings of the successful candidate’s working times with them. Whilst there is a degree of flexibility in this, it should be noted that the postholder will be in school every day it is open to children, and that some of their time will be worked when the Wrap Around provision is meeting. This is to allow discussion with the leadership of both provisions on a regular basis.
