General Description

The Workforce Systems Support Team are responsible for monitoring and maintaining a number of Workforce systems which are a mixture of bespoke software and excel spreadsheets.  These include time and attendance and HR management systems.

The Team handle, process and validate data onto Workforce Planning systems, including information about leave, payments, allowances and credits such as overtime, standby and acting up payments.  It is essential that the information is processed accurately with attention to detail whilst meeting deadlines.

The Team are responsible for providing technical advice, guidance and training to service users.

Specific Duties (include here current tasks and duties required of the role)

To be responsible for accurately entering and maintaining data onto all Workforce Planning systems.

To monitor and audit the accurate use and updating of computerised Workforce Planning systems.

To undertake validation procedures in connection with pay and allowances for all categories of employees.

To process complex amendments to employee records.

To develop in depth practical and procedural knowledge, and sound technical expertise, based on West Midlands Fire Service Standing Orders, processes and procedures.

To communicate effectively, Imparting technical advice, guidance and training to service users. Exchanging varied information both orally and in writing and sharing knowledge of systems and procedures to ensure their consistent application, which will require advisory and guidance skills.

To undertake the testing of new and amended systems as directed by the Workforce Systems Manager.

To support the development and review of Workforce Planning business processes and reporting.

To compile and analyse Workforce Planning systems and reports for hours, leave etc. updating systems as appropriate and initiating necessary remedial action.

Using your intitative to make effective decisions on the application of processes and procedures, and to respond independently to unexpected problems or situations.

To collate, analyse, interpret and produce clear, accurate information as and when required, using the range of Workforce Planning Systems.

To prioritise effectively, dealing with interruptions and conflicting demands, to ensure tasks are completed in an accurate and timely manner.

To support the identification and recommendations for change and improvement of systems and processes.

To handle and process considerable amounts of manual and computerised information, which requires care, confidentiality and security.  In accordance with current legislation including the GDPR, Data Protection Act and Freedom of Information Act 2000.

Essential Skills:

With a high level of IT skills, you will have experience of using a variety of software packages including Excel.

Ability to handle and process considerable amounts of manual and computerised information which require care and confidentiality.

Dexterity, speed and precision in the application of keyboard skills

Attention to detail

Ability to meet deadlines

Be able to work on own initiative.

Must be a team player.

Educated to GCSE Maths and English Grade C or equivalent as a minimum.

You should have excellent communication skills and be able to impart sound technical advice and guidance to service users, via Microsoft Teams, face to face, via email and over the telephone.

Having a positive outlook and ability to work to tight deadlines, a flexible approach to work is essential, able to adapt to the needs of the service. 

Preferred Skills:

Previous experience of Human resources systems.
