Purpose of role:

To be responsible for the organisation and effective academy operations including finance, human resources, health and safety and facilities management

 

Key accountabilities (and specific duties / responsibilities):

  • Responsible for business and finance management of academy budget

Produce monthly management accounts including reconciliation of the bank and control accounts

To prepare and supply all financial returns including cash flow, VAT, year end accounts, capital bids and re-forecasts

Prepare the annual budget including the 3 year business plan in conjunction with the Head Teacher

Provide ongoing budgetary information for SLT, budget holders, governors and the Trust. 

Oversee the spending of the budget to ensure value for money and the financial requirements of the Trust's scheme of delegation implemented

Ensure all supplies paid on a timely basis

Ensure all payroll deadlines met and reconciled on a monthly basis

Ensure all the TPS and LGPS requirements met

Maintain the fixed asset register

To oversee the collection, receipt and banking of the academy income and ensure that the accounts are reconciled on a monthly basis 

Manage the lettings and ensure letting income maximised 

To liaise with insurance regarding any claims and ensure that quotations for damage are obtained

Research opportunities to bid for additional funds and support the academy in preparing the bids

  • Ensure that the HR policies and procedures being followed

Ensuring Trust HR policies and procedures are being followed at academy level.

Ensure contractual and payroll information is produced and accurately maintained.

First port of call for queries and advice on HR matters, policies, terms and conditions, ensuring good practice and compliance in line with policy and legislation.

Employee Relations - organising hearings, case papers, note taking, issuing letters, occasionally conducting investigations.

Attendance and absence monitoring - keeping absence records and monitoring against absence indicators, maintaining contact with colleagues on long term sick and arranging home visits, OH referrals, phased returns.

Performance Management - provide advice and guidance on Performance Management Processes.

Conduct risk assessments - Stress, Pregnancy, Maternity etc.

Recruitment admin up to and including interview day. Drafting adverts, posting on relevant sites, participating in interview panels if required. Offer letter, contracts, pre-employment checks ensuring adherence to the Trust Safer Recruitment Policy.

Ensuring the induction (probation) process for new colleagues is effective.

Conducting Exit Interviews.

  • Lead on Health and safety procedures and policies

To be responsible for the day to day operation of Health and Safety procedures and policies, liaising with premises assistant, cleaners, Administration officer, SLT and governors.

To write and review the academy Health and Safety Policy for approval by the Governors.

To assist with the writing and updating of other academy policies containing a Health and Safety element.

To service the academy’s Health and Safety Committee.

To analyse accident reports within the academy and prepare reports for SLT.

To advise staff on Health and Safety matters as required.

To provide/arrange staff Health and Safety training as required. e.g. use of fire extinguishers, use of ladders, manual handling etc.

To prepare and issue health and safety audits as and when required.

To liaise with Trust Health and Safety Officers.

Prepare risk assessments as required.

To arrange for testing in line with the maintenance requirements of the academy e.g. water hygiene testing, PAT testing, lightning protection, emergency lighting, gas & boiler testing etc

To oversee and ensure that the correct testing and checking is being carried out by the Premises Assistants.

  • Manage the academy site and maintenance procedures

 

 

To efficiently and effectively manage the academy site.

To take the lead in the Business Continuity Planning.

To maintain inventories and asset management.

To line manage the Premises Assistants and Cleaners.

To co-ordinate and manage the scheduling of minor repairs and maintenance i.e.  painting and decorating, joinery, plumbing.

Liaise with and monitor contractors in connection with minor works and major building works proposed for the academy including quotations and/or site visits. .

To monitor and manage the academy's contracts and to lead on the tendering for new contracts in liaison with the headteacher.

To ensure heating, plant and equipment is efficiently and effectively operated.

To be responsible for maintaining the security of the premises and its contents.

Undertake safety checks in accordance with specific guidelines.

Undertake risk assessments and COSHH procedures as appropriate.

Manage directed lettings.

Complete reports for the Local Governing Body and the Trust.

Shared responsibility for devolved maintenance capital budget.

  • Support to the academy

Promote and safeguard the welfare of children and young persons the postholder is responsible for or come into contact with.

Assist with pupil needs as appropriate during the day.

Comply and assist with the development of policies and procedures relating to child protection and safeguarding,  health and safety, security, confidentiality and data protection, reporting all concerns to an appropriate person.

Be aware of, support and ensure equal opportunities for all.

Contribute to the overall ethos/work/aims of the academy.

Establish constructive relationships and communicate with other agencies/professionals.

Attend and participate in regular meetings.

Participate in training and other learning activities and performance development as required.

Recognise own strengths and areas of expertise and use these to advise and support others

  • General

To participate in the planning and  review process, taking personal responsibility for identification of learning, development and training opportunities in discussion with the headteacher.

To comply with individual responsibilities in accordance with the role.

To be committed to and promote the welfare of children and young people and expect that all colleagues  and volunteers share this commitment.
