This is an exciting opportunity to work within the Arts Service at Warwick District Council.  A varied and evolving role - the ideal candidate will be dynamic and highly motivated, willing to learn, calm under pressure and proactive. They will have experience of working with the public, experience in delivering events and excellent interpersonal skills.

The successful applicant will be responsible for managing the hire bookings at the Town Hall, Royal Pump Rooms and, occasionally, the Royal Spa Centre, in Leamington Spa. They will not be responsible for marketing these events. Primarily, the customer base will be those who hire the venues to host their own events and so promotion is the customers’ responsibility, if necessary.

The events booked at the venues vary in nature and range from complex wedding receptions to simple board meetings, infrequent filming to weekly dance classes. The Events Coordinator will be the first point of contact for general enquiries and will deal with all event booking enquiries from the initial contact from the potential customer through to quoting for the event and finally invoicing and event evaluation; they will lead on the coordination, planning and organisation of events and provide administrative support to the Programming and Marketing team.

Administrative support will include duties but not limited to setting up creditors and debtors on the finance system, compiling PPLPRS (music license) reports and being the first point of contact for the hires inbox and phone line.

Day to day, this role will be based at the Royal Spa Centre and will involve speaking to potential customers on the phone and via email, giving tours of the venues to clients, creating quotes and hire agreements, liaising with other departments to ensure the smooth delivery of events, providing pre, during and post client event support and raising invoices.

The post is full time (37 hours) Monday to Friday. Some flexibility will be required as occasional evening and weekend work will be necessary.
