Job Details

The post holder will work in the organisation’s Immigration and Asylum Team. They will undertake a variety of complex administration tasks and support caseworkers to manage a caseload of specialist work.  The post-holder will also be required to liaise with clients and external stakeholders including the Home Office and Immigration Appeal Tribunal.

The post is very similar to that of a legal secretary – providing high level administration support and caseload management services to the caseworkers and clients.

Flexibility is a key characteristic of all our posts and the post-holder may be asked to carry out other tasks consistent with the grade from time to time.

Tasks:

  1. Caseload Management
  • Communicate effectively by letter, email and telephone and in person with clients and third party agencies
  • Follow processes and procedures to implement agreed strategy for clients.
  • Support Caseworkers in the execution of their duties.
  • Deal with in-coming and out-going post providing responses and taking relevant action as necessary
  • Liaising with clients and third parties as required to progress a case.

 

 

  1. Administration
  • Organise and maintain caseload management for the team.
  • Type letters, reports and documents as required.
  • Audio typing.
  • Input complex case data on to a variety of CMS systems
  • Produce reports and other documents as required
  • Photocopy, fax and use other office machines.
  • Maintain electronic and paper filing systems in accordance with the agency’s procedures.
  • Action incoming / outgoing post in accordance with agency procedures.
  • Maintain dairies, book appointments for clients and book interpreters – checking deadlines as appropriate.
  • Maintain, develop and review systems.
  • Take accurate messages and action them accordingly.
  • Maintain statistics and collate and produce to a prescribed format.
  • Take notes/minutes at meetings and transcribe to a high standard

3.         Other duties and Responsibilities

  • Ensure deadlines and targets are met.
  • Complete monitoring and reports as required
  • Attend appropriate internal and external meetings.
  • Any other relevant administrative and support duties required to ensure the smooth running of the bureau.
  • Work within a team to achieve defined objectives.
  • Assist in the preparation of and smooth running of events.
  • Work within the Bureau’s anti-discriminatory practices and equality and diversity policy.
  • Undertake training as required.
